SCC Conditions of Use

General

  1. The Sinhalese Cultural Centre (SCC) can be hired by organisations or indivuduals for activities which can be accommodated by the available facilities.
  2. All the requests to hire the SCC should be made through the SCC Booking Facility at https://www.ozlanka.com/scc-booking-make-a-booking/ .
  3. All the users of the SCC are kindly requested to take the utmost care in the use of the facility to minimise any damages to the property and minimise the maintenance costs.

Venue Facilities

  1. The venue is hired as the whole facility. A part of the property can’t be hired as it is not setup to do so presently.
  2. The following facilities are available for the hirer.
    1. Main hall (8m x 6m)
    2. Kitchen (cooking is not allowed in the kitchen, only making tea/coffee & use of the microwave oven for heating are allowed)
    3. Dining area
    4. Storage room (to store tables, chairs etc)
    5. 1 x Female & Ambulant toilet
    6. 1 x Male toilet
    7. Outdoor pergola
    8. 63 x Chairs
    9. 15 x tables (Size 1835mm x 762mm)

Times of Use

  1. The SCC shall be available for use from 8:00am – 11:00pm, 7 days a week.
  2. From 8:00pm till 11:00pm the SCC shall only be used for low noise activities to avoid disturbance to adjacent neighbours. This means, loud music, singing, playing musical instruments & amplified audio are not allowed.
  3. After 6:00pm, all the social events can only be held indoors.

Car Parking

  1. Car Parking in the driveway should be avoided as it is necessary for pedestrians and service or emergency vehicles.
  2. The visitors should use street parking obeying the road rules and minimising the impact to the neighbours and the adjacent park users.
  3. If the number of attendees to the event exceed 30, the hirer should advise the attendees to park away from the property location to minimise the impact to the neighbours (e.g. Quinn Avenue & Williamson Avenue).
  4. Parking on the lawn (any grass area) is not allowed.
  5. The hirer should give the attention to the parking by the SCC visitors to make sure the above guidelines are followed.

Cooking and Serving Food

  1. Cooking is not allowed in the kitchen, only making tea/coffee & use of the microwave oven for heating are allowed
  2. Cooking is not allowed at any other location of the property.
  3. The hirer may use a commercial caterer to serve food to their guests.
  4. Ensuring the food safety will be the sole responsibility of the hirer.

Use of Audio, Video and WiFi Facilities

  1. The SCC is equipped with the following.
    1. Wall mounted large TV screen with soundbar
    2. A separate sound system with mounted speakers and two Wireless Microphones
    3. WiFi based internet
  2. If the hirer intend to use the Audio, Video or WiFi facilities, the hirer should describe how they wish to use and receive the necessary information and possibly a demonstration from the Booking Team.
  3. The hirer should take the utmost care and the responsibility of the Audio & Video equipment.
  4. Only the hirer (contact person or a delegated responsible person) should operate the equipment to minimise any damage to equipment.
  5. The Internet service provided should only be used for accessing legal content. The password provided should not be shared with others.

Children Supervision

  1. Children under the age of 12 must always be supervised by the parents, guardian or an allocated adult.

Management of Noise & other Disturbances

  1. The SCC is located in a residential area. Hence all the patrons should not adversely impact the amenity of neighbours when conducting their activities.
  2. The patrons should not engage in behaviour that could cause offence to neighbour residents prior to or at the cessation of an event. Such behaviour may include socialising in any external areas of the property or within close proximity to the property, excessive talking, excessive laughter, inadequate control or supervision of children or any other similar types of behaviour.
  3. During an event, there is to be no singing in external areas, playing of instruments in external areas, broadcast of music or lectures in external areas, children playing in external areas or any other similar types of potentially noisy activities.
  4. At the cessation of an event, patrons should avoid from socialising or engaging in noisy activities in external areas. The patrons are advised to leave the property in calm and quiet manner and to consider the amenity of neighbouring properties.

Venue Tear Down & Cleaning after an Event

  1. The hirer should make the venue to the original status after the event including:
    1. All the tables are stacked in the Store room
    2. All the chairs are stacked in the Store room
  2. The SCC is cleaned regularly. However, the SCC is not cleaned in between events. Hence all the hirers should make the venue clean and tidy so that the next user can use.
  3. The floor needs to be swept after an event. The floor needs to be moped after an event, if required.  
  4. All the garbage bins should be emptied and disposed in the bins provided. Hirers are encouraged to take the garbage bags where possible. No garbage should be left in anywhere other than the garbage bins provided outside. The garbage bins provided outside should not be overloaded (should be able to close the lid properly). Further a new garbage liner needs to be used for the next user.
  5. The two toilets should be checked out after the event to make sure they are in a reasonable state for the next hirer to use.
  6. No excess food should be left in the premises including in the fridge.
  7. No personal belongings should be left after the use of the premises.
  8. The hirers should make sure the following, when vacating at the end of the event
    1. Venue is cleaned as described in this document
    2. All the air-conditioners are switched off
    3. All the lights are switched off (Auto lights are provided external to the property including at the front entrance)
    4. Rear door is locked (no key lock, latch only)
    5. Front door is locked (Electronic lock, no key lock)

Operational Status of Venue

  1. The SCC management makes every effort to keep the venue fully functional (including audio & video equipment). However, the hirer acknowledges that there can be occasions that some facilities are not available or functional due to unavoidable reasons.

Public Liability Insurance

  1. All the hirers are advised to hold their own adequate Public Liability Insurance covers to protect themselves from any Public Liability claim.
  2. Organisation hirers must provide a copy of the valid Public Liability Insurance to all bookings.
  3. If the hirer is an individual and a current financial member of the Sinhalese Cultural Forum of NSW Inc, he/she will receive a 10% discount from the above published rates.
  4. Once a booking is made, the SCC will send a confirmation of the booking and an invoice. The invoice should be paid 3 days prior to the date of the event.
  5. If a booking is cancelled 3 days prior to the event date, the full amount will be refunded or can be used for future bookings.
  6. If a booking is cancelled within 3 days from the event date, the hire charges will not be refunded.
